Daktela WFM – Workforce Management for contact centres
DAKTELA FOR HOTELS

Respond to every guest. Even at night, and across multiple channels.

Daktela's AI chat, voice and email bots handle the hotel's communication with returning guests – from checking room availability to amending bookings.

This leaves reception free to focus on what truly needs a human touch: the guest standing right there at the desk.

The problem

The guest won't wait. If they don't get a reply, they'll book elsewhere.

Most hotel guest communication revolves around a handful of recurring questions: is there a room available, how much does it cost, when is check-in, is there parking, can I bring my dog. These questions arrive at any hour – eleven at night, Sunday morning, or exactly when three people are queuing at reception. A delayed reply is never neutral: the guest goes back to the OTA and books there instead.
Enquiries come in at weekends and at night, but reception isn't available
The phone rings when there's a guest standing at the counter
Unanswered requests for quotes sit in the email inbox for days
A colleague on duty can't always reply in the guest's own language
AI Room Recommender

AI that doesn't just answer – it also recommends rooms.

Daktela's AI Room Recommender isn't a keyword-triggered chat window. It asks the guest questions the way an experienced receptionist would – how many guests, when, with or without children, parking, spa interest – then recommends only rooms and packages genuinely available for those dates.

The guest gets a tailored suggestion instead of a list: comparing room types and requesting a quote without ever leaving the hotel's own site. This steers the conversation towards direct bookings, where the commission stays with the hotel.

If a guest asks something the system can't answer precisely, the conversation hands off to a colleague instantly, with the full history attached, so nothing needs repeating.

Recommends from real stock

Never promises a room that isn't actually available.

Asks before it recommends

A suggestion tailored to what the guest actually needs.

Seamless handover

The AI knows exactly when a human is needed.

AI Channels

Chat, voice and email
– the same expertise across all channels.

AI Chatbot

Gives instant answers to questions about services, prices and availability on the website and social media. Available around the clock, and can talk to several guests at once.

AI Voicebot

Answers the phone when reception can't. Shares booking status, check-in times and hotel services, and places outbound calls to confirm or remind – in a natural voice, in the local language and beyond.

AI Email Bot

Processes incoming quote requests and enquiries, understands their content, and answers routine emails on its own. Routes complex enquiries to the right colleague – no request for a quote gets lost in the shared inbox.

Multilingual

The guest asks a question in their own language.

A hotel's guest base is rarely monolingual. Daktela's AI solutions communicate in multiple languages to the same standard – so it isn't the language skills of whoever's on shift that decide whether a German or Polish guest gets an answer today.

Omnichannel

AI is only as good as the system behind it.

Daktela is a full omnichannel contact centre platform – phone, webchat, email, WhatsApp, Viber and social media in one interface, with ticketing, customer profiles and detailed reporting. AI sits on top of this system, which is why the bot can see conversation history, hand off to a human colleague, and be measured precisely for what automation has taken over.
Hotels typically start with the AI modules
and gradually bring in the other channels as needs grow.
Scales in both directions
The platform flexes with seasonality, without adding headcount.
Daktela AI
How it works

Four steps to get started.

1

Mapping

We look at what questions come in, on which channels, and in what volume.

2

Knowledge base

We train the AI on the hotel's own data: room types, services, house rules, common questions.

3

Integration

We connect it to the booking and property management system so the AI works from real data.

4

Go-live and tuning

After launch we keep measuring how much automation is handling, and where to expand it.

PREVIO

DAKTELA

Previo PMS + Daktela AI – booking data lives where the conversation happens.

An AI bot is only as useful as the data it can see. If a guest asks about their booking and the system can't find it, the conversation ends up in the same place as before: reception.
That's why we connected Daktela's AI to Previo, one of the most widely used property management systems in Central Europe. Through the integration, the AI reads the hotel's real data via Previo's API – availability, booking status, arrival and departure times – so it speaks to a specific guest's specific booking, not generalities.
In practice, most recurring booking enquiries can be closed without human involvement. Guests can ask about arrival times, make changes, or check on services – by chat, phone or email, any time of day. Reception only sees the cases that genuinely need a decision.
The two systems build on each other: Previo runs the accommodation operations, Daktela handles the guest communication – both drawing on the same database. The hotel doesn't need parallel administration, double data entry, or a separate IT team.

It's already working in practice.

Daktela's platform is already used in the domestic hotel industry by Silvanus Hotel, alongside Kifli.hu, Weco-Travel (repjegy.hu), Leziter and Barion, among many other clients running on the system's AI modules.
